Name the assets and their owners

Create an inventory of hosting, domains, repositories, databases, external providers and delivered assets. Name the owner of each account and how access is delegated. State which code is delivered, which components are reusable and which licenses belong to third parties. Possessing a file does not imply ownership of every element it contains.

Confirm that the organization can access its accounts without relying on a developer’s personal login. Document recovery contacts and revoke temporary permissions when appropriate. Keep secrets in approved secure storage rather than operating notes, email threads or the project brief. An access inventory should identify a secret’s location without exposing its value.

Teach the actual operating tasks

Use a representative task for training: create a request, review a pending record, correct a permitted field and resolve an exception. Let a team member perform the task without step by step developer prompts. Record which parts need clearer instructions or interface changes before accepting the handover.

Provide concise operating notes for routine work, access requests, known limitations and recovery. Identify where errors appear and who handles them. Include an agreed backup and restore procedure, and verify it in the environment covered by the scope. A backup is useful only when the team knows how recovery is supposed to work.

Agree on continuity and exit

Separate a defect in delivered work, routine maintenance, a provider incident and a new feature request. Agree on covered systems, tasks, available hours, response arrangements and usage limits. A response is not the same as a resolution. Avoid assuming that a monthly service covers every change the business might request.

Define data export, access revocation and any transfer assistance before it is needed. Keep the documentation current as approved changes are made. A scoped maintenance arrangement can support a delivered system; it should not be described as a standard subscription product unless a shared product has actually been validated and offered.
