Define the source of truth

For every field exchanged between tools, decide which system owns the value. Record the identifier used to match records and how changes are detected. If both systems can edit a field, define the conflict rule before connecting them. Otherwise an apparently successful sync may overwrite valid work.

Review empty values, changed names, deleted records and canceled requests with the process owner. State which information is copied, which stays private and what is intentionally excluded. Begin with a limited authorized sample rather than moving the entire history while the mapping is still uncertain.

Distinguish safe retries from uncertain actions

A timeout does not always mean an action failed. An email or record update may have completed even though the response was lost. Give each request a stable identifier and define how the receiving system detects repeats. Do not automatically repeat consequential actions when their outcome is unknown.

Separate statuses such as received, validated, applied and needs review. A record being saved should not imply that its notification was delivered. When the provider cannot confirm the outcome, preserve that uncertainty for a person to reconcile. Test a duplicate request and a lost response, not just a normal execution.

Prepare a usable recovery path

Name who watches failures and what information they need: request identifier, time, affected step and provider status. Avoid exposing credentials or unnecessary personal data in logs. Set practical limits for retries and usage, then provide a way to pause the workflow while the team investigates.

Document a manual procedure that the daily operator can perform. Include how to confirm what already happened, complete a pending task and return to normal operation without creating duplicates. Review account expiration and provider changes as part of scoped maintenance. Recovery should be rehearsed before relying on the connection.
