Check what your current tools already do

Write the task in plain language before searching for a product: who must do what, using which information, with whose approval? Inspect the features and account permissions already available to your business. A template, shared view or consistent form may solve the first problem without introducing another system.

Include a process improvement as one option. If requests arrive through several untracked channels, agreeing on one intake route may matter more than software. Ask users to try the simpler method with representative cases. If they cannot maintain it, examine why before making the workflow more complex.

Compare integration with a new application

An integration can move agreed information between compatible tools while each keeps its main purpose. Confirm supported interfaces, account plans, allowed fields and who owns each record. Define the source of truth when both systems can edit the same field. A product name alone does not establish that a reliable connection is available.

Consider custom software when the essential task cannot be represented adequately in existing tools. Describe the unique workflow rather than copying every screen of the current system. Include role enforcement, data export, deployment and maintenance in the comparison. A tailored interface carries an ongoing operating responsibility as well as a build cost.

Make the decision visible

Create a short comparison for process change, configuration, integration and custom development. For each, note the user task it supports, unresolved dependency, account owner, recurring costs to investigate and a way to leave or export data. Do not fill unknown fields with assumptions; turn them into questions for discovery.

Choose a small reversible test when the options remain uncertain. Agree on what would justify continuing, changing direction or stopping. The result is a documented decision with conditions, not a promise that one technology will deliver savings. Use those conditions to request a scoped proposal.
